HHCA Financial Policies

  • All payments must be made by check or card. No cash will be accepted by the business office.

    HHCA offers 3 payment plans:

    1. An annual one-time payment due by July 31.

    2. Semester payment due by July 31 and December 31.

    3. 10 monthly payments due by the end of the month, July-April.

A $25 late fee will be assessed per student if paid after the 7 day grace period (payments due by the last day of each month)

A $25 bank fee will be assessed for returned checks or failed payments.

Payment of tuition is a condition of continuing enrollment.

  • Delinquent Payments
It shall be the responsibility of each school family to keep HHCA informed of their need to make any changes in their preferred tuition payment plan or adjustments in the amount of tuition expected to be paid. Without such information and agreement, the following policies will apply when tuition payments are received late.

    • Payments made 7 days late will incur a $25 late fee per student, per month.

    • School families who have missed two monthly payments and have not made suitable arrangements within fourteen (14) calendar days of the second missed payment will be informed that their child(ren) will not be allowed to participate in extracurricular activities, including Friday enrichment classes. Students will be permitted to complete academic course requirements, take mid-term exams and final exams. Progress reports and report cards (Quarter, Semester and End-of-Year) and permanent records will not be released. These consequences will be in effect until the family’s account is current or suitable arrangements have been made with HHCA.

    • After 3 months of delinquency, the parent/guardian may be asked to withdraw their child(ren) from HHCA until payment is made.

Non-Admission of Students due to Tuition Delinquency
School families failing to pay tuition according to the agreement which they have made with HHCA or who have been unwilling to make suitable alternative arrangements will be informed that their child(ren) may not be readmitted.
All families must be current in their payment of tuition:

    • By August 1st: If not, students may not be admitted on the first day of school.

    • By December 1st If not, students may not be readmitted on the first day of class in January. Students will be permitted to complete first semester academic course requirements and take 1st semester exams. Report cards and permanent records will not be released.

    • By April 20th: If not, Seniors may not receive caps and gowns or be allowed to graduate on stage. 8th graders may not be permitted to participate in the 8th grade Graduation program. Students will be permitted to complete academic course requirements and take final exams. Report Cards and permanent records will not be released.

Delinquent Tuition/Outstanding Balances From Previous Year(s)
All previously unpaid tuition and other outstanding balances must be paid by August 1 if a student is to be readmitted on the first day of class for a new school year. Payments can be made directly to HHCA or via ClassReach. If payment is not possible, suitable arrangements must be made with the HHCA.

Any tuition balance outstanding on May 15th will be assessed a 3% service fee.

    • Withdrawals requested before May 1 are granted a full refund, excluding the enrollment fee and application fee.

    • Beginning on May 2, there will be no refund of tuition and all families are responsible to meet their obligation to pay for the academic year as the HHCA budget is set by tuition income.

    • If a family withdraws (with or without a refund), the family is not entitled to access any of the work, assignments, handouts, recordings, projects, or exercises provided by the instructor during the student’s enrollment. The student will be withdrawn from his Learning Management System class and all access to the course.

The parent should email headingtonhill.academy@gmail.com to request a withdrawal. All withdrawals are final.

Even if the student is withdrawn without a refund, the family should not expect those funds to remain as a financial credit for future services. The student cannot be readmitted to the same course later in the year citing their full payment without refund. If a family withdraws a student during an academic year and they wish to re-enroll in the same course later that same year, an interview with the family, instructor, and headmistress will take place to determine whether or not to re-admit the student and what, if any, additional fees should be paid for the re-enrollment. If the family withdraws a student during an academic year and they wish to later enroll in a different course during the same year, the family will pay for a brand new course enrollment.

Sometimes withdrawals reflect concerns and grievances. Families are flagged when unresolved issues from previous years carry over into new enrollment seasons. Headington Hill Classical Academy reserves the right to deny enrollment until the administration is satisfied with the terms of reconciliation with the family.

  • Families may apply for financial aid by applying on Benefaq.com. Financial aid is limited and will be awarded based on need.
